Our services range from waterproofing and mold remediation to insulation and crawlspace encapsulation. As a growing company, we are looking for an organized and detail-oriented Administrative Officer to join our team and help keep our operations running smoothly.

The Administrative Officer is a key support role, responsible for a wide range of administrative, accounting, and payroll tasks. You will assist in managing day-to-day office operations, including customer inquiries, scheduling, data entry, and document management, while also handling important bookkeeping and payroll duties. This is a critical role in ensuring that the company operates smoothly and efficiently. Responsibilities

  • General Office Administration 
  • Answering and direct incoming calls, responding to customer inquiries and assisting with service scheduling
  • Maintain an organized filing system for customer contracts, invoices, service records and internal documents
  • Prepare and send quotations, invoices and payment receipt to customers ensuring accuracy and timeliness
  • Track payments and follow up on overdue invoices
  • Record daily financial transactions and reconcile accounts to ensure accuracy
  • Process payroll for all employees, ensuring accurate calculation of wages, overtime and deductions
  • Maintain payroll records and ensure compliance with local, state and federal tax regulations
  • Assist in Hiring and Onboarding new employee and ensuring necessary documentation is completed
  • Perform additional tasks as assigned

Qualifications/Experience

  • Bachelor Degree or Higher (A degree in Business Administration, Accounting or related field is a plus)
  • Minimum 3 years of experience in an administrative support role 
  • Previous experience in Accounting and Financial Management, Payroll Management, Data Entry and Record Keeping, Tax Filing and Compliance 
  • Previous experience in home services, construction or maintenance-related business
  • Canadian Citizen/Valid work permit for Canada

Skills

  • Strong organizational and multi-tasking skills with the ability to manage multiple tasks and deadlines.
  • Excellent written and verbal communication skills
  • Strong proficiency with accounting and CRM softwares (Quickbooks, Odoo and Jobber) 
  • Advanced Proficiency with Microsoft Office Suite (Excel, Word)
  • Attention to detail and ability to handle financial data accurately and confidentially.
  • Strong problem-solving skills and ability to work independently as a part of a team
  • Strong analytical skills
